Job Description

We're looking for a detail-driven professional with at least two years of service coordination or dispatching experience who thrives in a fast-paced environment and is ready to take ownership of scheduling, customer communication, and daily workflow support.

Additional details:

  • Pay range: $60K-$75k depending on experience level
  • Schedule: M-F 7:00am to 4:00pm
  • Location: In office 100%
  • Type: Direct Hire with full benefits (see below)

Job duties:

  • Coordinate and dispatch HVAC service technicians based on priority, geographic efficiency, and required skill sets.
  • Manage the daily service schedule and maintain consistent communication with field technicians.
  • Audit completed service work to ensure accurate labor hours, materials used, and proper documentation.
  • Prepare all necessary paperwork for invoicing and forward completed files to the accounting team.
  • Monitor active service jobs and follow up on any outstanding details or incomplete work.
  • Respond promptly and professionally to incoming service calls and emails.
  • Serve as the primary customer contact, providing updates throughout the scheduling and service process.
  • Foster strong customer satisfaction by delivering timely communication and issue resolution.
  • Oversee service agreement renewals, including updating pricing and distributing revised contracts.
  • Keep detailed and organized records of service agreements, job history, and customer correspondence.
  • Collaborate closely with the Service Manager to prioritize workloads, address field challenges, and meet operational goals.
  • Support field technicians by assisting with material coordination, documentation needs, or job clarifications.

Requirements:

  • 2+ years of service coordination or dispatching experience is required
  • Must come from an HVAC, Construction, or similar Trades industry background
  • Experience in MS Office Suite (Excel), Monday would be great as well
